Meet Our Team:

Receptionist is a member of the local office administration and global facilities teams. Both teams make sure our offices are well maintained and all necessary services are provided to employees.

 

Picture Yourself at Pega:

The Receptionist provides administrative support to team members of Polish branch, including Kraków and Kielce offices as well as remote employees. Successful candidate should be organized, have good communication skills, warm phone persona and an ability to engage people. They will be the face and voice of Pega. Knowledge of Word, Excel and general computer skills are a must. Must enjoy people and be able to change tasks at a moment’s notice to manage an active and vibrant lobby environment.


 

What You'll Do at Pega:

•    prepare mails, handle correspondence and distribute it in the office, send and receive shipments, including dealing with courier companies and customs,
•    answer phone and direct calls as needed,
•    greet visitors and announce their arrival,
•    provide refreshments if requested,
•    maintain conference rooms in the reception area as well as the board room,
•    maintain visitor log and assign badge as necessary, collect badge post visit,
•    distribute taxi vouchers as needed,
•    receive invoices and forward appropriately,
•    create purchase orders in internal systems,
•    present facilities related matters to new hires during onboarding,
•    arrange transfers for guests,
•    respond to the Corporate Services Email box as needed,
•    create Help Desk Tickets as needed,
•    troubleshoot failures, call for repairs, monitor equipment operation,
•    maintain the office in terms of resolving technical issues as well as continuous improvement,
•    liaise with building management,
•    liaise with vendors,
•    order office supplies and groceries,
•    support sustainability efforts of the branch,
•    provide general department support.
 

Who You Are:

The ideal candidate has experience working with confidential and sensitive information and pays close attention to the details and understand that the small things matter. Your skills and experience must include:
•    very good command of English
•    attention to details
•    very good knowledge of office software (Outlook, MS Office)
•    ability to deal with different tasks simultaneously
•    ability to connect to new people and make them feel comfortable

You had worked on a similar position in an international company delivering excellent service to internal and external clients at the reception desk.
